The Elephant Terms & Conditions

Bookings and payment

You will need to complete and submit the booking form and then we will send you an invoice. Once you pay the invoice, your place on The Elephant will be secured.

What’s included

  • The ticket price includes on road support during the three riding stages (luxury mini buses).
  • Accommodation for two nights in Pai with breakfasts included (unless you choose the ride-only option).
  • Non-riding partners will be able to participate in the non-riding activities whilst in Pai, with a dedicated luxury mini bus at their disposal.
  • The optional non-ticketed activities before and after the three-day rides are open to all participants, at their own cost.

What’s not included

  • Flights to and from Thailand.
  • Travel insurance. We strongly recommend you purchase comprehensive travel insurance for yourself and your bike (if you are bringing your own bike).
  • Pre or post ride accommodation. If you are staying on in Thailand after stage 3 on November 18th, please make sure you have organised your accommodation from the 18th onwards.
  • Bike packing and re-assembly. If you would like your bike professionally packed for the flight, re-assembled in Thailand and re-packed for the return flight, please contact Rob Astromsky at LifeCycle Bikes.
  • Bike hire. We recommend Chiang Mai Cycling Buddy.
  • Personal hotel expenses in Pai (although breakfasts are included).
  • All meals, drinks and entry fees related to the non-ticketed optional activities.
  • Coffee stops during the rides.
  • Wine and/or alcoholic drinks.

Accommodation in Pai

Both accommodation options in Pai are 4-star rated hotels and both are in easy walking distance of the centre of Pai and the Walking Street Night Markets. Both options have air-conditioning, free wifi, a swimming pool, a bar, a restaurant and all the other features expected in a 4-star venue.

The riding group

Our ride leader is Tommo Chavarin from the Fujiyama 55 Cycling Club in Chiang Mai, with ride guides and on-road support drivers also coming from the club. With years of experience moving large groups of cyclists safely through Northern Thailand, you’ll be in safe hands. The peloton will be split into smaller groups, each with a following mini bus as support. At any time, riders can jump in the bus if they need a break.

Non-riding partners and friends

Non-riding partners and friends will travel in their own luxury mini-bus from Chiang Mai to Pai on November 16th. Whilst in Pai they will then have the use of the bus during the day of the 16th and 17th, for sightseeing activities. On November 18th they will travel from Pai to Samoeng together. Once the ride group finishes in Samoeng, they will be able to join their riding partners and friends for the journey back to Chiang Mai.

Your obligations as a participant

You must notify us of any medical issue that may impact your cycling, or be of concern in an emergency. Cycling Eventures will not assume responsibility for any outcome of an emergency, but we will will provide any medical information to relevant persons in the event of an emergency.

Cycling Eventures reserves the right to not permit you to ride should you be in a state that may impact the safety of yourself and/or others.

Release

You acknowledge and agree that you understand the inherently dangerous nature of cycling and that you are qualified, in good health and in proper physical condition to ride a bicycle. You agree to wear a cycling helmet at all times whilst riding the bicycle.

You acknowledge and agree that cycling involves risks and dangers of serious bodily injury, including permanent disability and death. These risks and dangers may be caused by your own actions or inactions, or of others and you fully accept and assume all such risks and all responsibility for losses, costs and damages that you may incur as a result of your participation in such cycling activity.

You hereby release, discharge and covenant not to sue Cycling Eventures, its respective directors, agents, and employees (collectively “Releasees”) from all liabilities, claims, demands, losses or damages caused or alleged to be caused in whole or in part by the negligence of the Releasees or otherwise. You further agree that if, despite this Release, you or anyone acting on your behalf, makes a claim against any of the Releasees, you will indemnify, save and hold harmless each of the Releasees from any expenses, losses, liability, damage or cost which any may incur as a result of such claim.

Insurance

We strongly recommend you take up comprehensive insurance. Ensure your insurer is clear about the activities you will be undertaking during your travels.  Cover should include but is not restricted to baggage, health, travel, loss, damage, theft, accident, repatriation, force majeure and cancellation charges. If you are bringing your own bike we recommend you check your insurer will cover your bike in all circumstances to a suitable value.

Cycling Eventures will not assume responsibility or liability for:

  • Any loss, theft, accident or damage to participants or their personal effects sustained before, during or after the tour.
  • Any travel restrictions, extensions, isolation or  quarantine requirements, or illness due to Covid-19, or any other personal or public health issues before during or after the tour.
  • Force majeure or any other unexpected event that prevents the tour from commencing or continuing as planned.

Bikes

Whether you are bringing your own bike or hiring a bike in Thailand, your bike is your responsibility. If you are bringing your own bike, please make sure you have it serviced before you travel. Our support team will be able to assist with minor repairs and maintenance during the three days of The Elephant, but please ensure your bike is in top condition before you set out. If you are hiring a bike, it is your responsibility to arrange pick up and return, although we may be able to organise a group pick up and return as we get closer to November 16th.
